ServiceNow - Edit a Knowledge Article

Knowledge Article Publication Lifecycle

This knowledge article will provide instructions on how to edit a knowledge article in ServiceNow.

Instructions

 

  1. Open the knowledge article record, then click Checkout.

  2. This will create a new Draft version of the article. The version number will be the number of the current published version of the article (E.g. 1), followed by a decimal indicating the revision version (E.g. .01) to give Version 1.01 in this example.

    Note:  Once the Checkbox button is clicked, new buttons will appear for the new Draft record:

    • Perform AQI: This allows a Knowledge Coach or Knowledge Manager to perform a quality check against the knowledge article.
    • Add Blocks: This button will allow the addition of a Knowledge Block to the knowledge article. Currently, knowledge blocks are only used to show escalation for MiChart tip sheets.
    • Insert: This will create a copy of the existing knowledge article, but keep the current record open.
    • Insert and Stay: This will create a copy of the existing knowledge article, then have the new copy be the active record being viewed.
    • Publish: This will send an Approval Request to the Ownership Group of the knowledge article. Once they have Approved this, the article will be published to the knowledge base. (If a knowledge base has an Immediate Publish workflow, this button will allow the article to be published without an approval; most knowledge bases utilize the Approve Publish workflow).
    • Save: This will save your edits to the Draft article and keeps you on the current knowledge article record. ServiceNow does not autosave, so it's recommended to use this button frequently.
    • Update: This will save your edits to the Draft article, then return you to the last ServiceNow module used. (E.g. If you were in a list of knowledge articles or a report before you started editing the article, it will save your edits, then return you to that list or report.)
    • Delete: This will delete the Draft article (but does not delete the Published article).
  3. Make any edits needed to the article, then click Publish to send the article to the Ownership Group for Approval.

    Note: While an article is being edited, the current article remains Published. Both versions of the article can be seen from My Knowledge Articles.

  4. After the article is Approved, the previous version will go to the Outdated state, and the edited version will be Published. The version number will change to the next integer value (E.g. From 1.01 to 2.0).
