ServiceNow - Changing Ownership Group for a Knowledge Article


Introduction

There may be times where the Ownership Group needs to be updated for a knowledge article. This article will walk through some common scenarios.

Instructions

Author Would Like to Change the Ownership Group for a Draft Before Requesting Approval

At any time before requesting Approval (clicking the Publish button), you can change the Ownership Group then Save/Update/Submit. Once a member of that Ownership Group has Approved the Approval Request, that team will own the knowledge article.

Approval Group Would Like a Change to the Ownership Group During Approval Process

  1. As an Approver, if you have made any edits to the knowledge article, click Update to save your changes.
  2. Back on the Approval Request form, add Comments to the author regarding which Ownership Group (same as Assignment Group) to reassign the knowledge article, then click Reject.

  3. This will revert the knowledge article to the Draft state. The author can then follow the steps above: Author Would Like to Change the Ownership Group for a Draft Before Requesting Approval.

Anyone Would Like a Change After a Knowledge Article Has Been Published

  1. Checkout the knowledge article for revision.
  2. This will create a new Draft knowledge article. The author can then follow the steps above: Author Would Like to Change the Ownership Group for a Draft Before Requesting Approval.
