Q: What is the Clinical Documentation Transformation (CDT) Program?

 

A: Clinical Documentation Transformation (CDT) is a multi-year program focused on improving the provider documentation experience. Michigan Medicine has entered into a Strategic Partnership with 3M/M*Modal for a suite of solutions. One of these solutions is voice recognition to text and sets the stage for Michigan Medicine to enable other voice recognition features.

 

Q: Isn't there a voice recognition system today at Michigan Medicine?

 

A: Michigan Medicine is replacing the current Dragon application used with MiChart with

3M/M*Modal's Fluency Direct application beginning January 2021. End users will be brought up on the new application on a rolling basis throughout January – early February. The applications used today in Pathology and Radiology are not changing at this time.

 

Q: Why are we replacing the Dragon system?

 

A: The Dragon application is out of date and will no longer be supported by the vendor. There was dissatisfaction expressed with the current system by many end-users. Michigan Medicine leadership decided to step back and look at replacing the Dragon application as part of the larger strategic strategy of the Clinical Documentation Transformation (CDT) Program.

 

Q: What is happening to telephone transcription services?

 

A: After a successful go-live of Fluency Direct, Michigan Medicine is decommissioning the phone transcription service. The decision was driven by the Covid-19 Pandemic and Michigan Medicine's Economic Recovery Plan. Ending phone transcription will save significant costs and Fluency Direct will provide a better user experience.

 

Q: What can I expect/what can I do with Fluency Direct?

 

A:

  • Quality and accuracy will be substantially improved with Fluency Direct than it is with our current product. There is no risk for corruption or loss of profiles, everything is in the cloud.
  • Fluency Direct supports more documentation needs.
  • Fluency Direct supports more ways to dictate. End-users can use their iOS or Android smartphones as their microphone by simply downloading the Fluency Direct Mobile Microphone application and then synching it with MiChart. Users will also be able to use their smartphones and open Haiku and use Fluency Direct voice recognition software with Haiku. If you are unable to use a smartphone, end-users will be able to use Fluency Direct with a traditional wired or wireless handheld device or headset.
  •  ability to add templates or smart links before or after dictating. If using with Haiku can only do after dictation.
  • APPs can still "dictate" on behalf of providers
  • No more waiting for transcriptions to return and read after the fact
  • Minimal disruption to workflow
  • Ability to perform full dictation and partial dictation

 

Q: I use Dragon today, can I still use my PowerMic?

 

A: If you have a handheld PowerMic you use with Dragon you will not be able to use it with Fluency Direct. That microphone is proprietary to the Dragon application. If you have a headset microphone you should be able to use it with Fluency Direct. A portion of these replacements is covered under the project budget.

 

Q: What microphone do I use?

 

A: Michigan Medicine is encouraging end-users to use the Fluency Direct Mobile Microphone application with your smartphone where your workflow allows. The Mobile Microphone application does very well when you are at home or in your office. Providers that start using the Mobile Microphone application at other healthcare systems experience very high satisfaction with the Mobile Microphone application and find they do not need a traditional wired/wireless microphone when using Fluency Direct. In shared spaces or where there is ambient noise, handheld microphones will be issued that will be tethered to the workstation as they are better for noise-canceling. Other microphone options are supported that can be purchased by end- users or their departments. Information about those other options will be available soon.

 

 

Q: Who is eligible to use Fluency Direct?

 

A: For the initial phase of implementation, current Dragon users and current Transcription users will be transitioned to Fluency Direct. New users to voice recognition to text will be rolled out in future phases.

 

Q: If I am a current Dragon and/or Transcription user, will I be trained to use Fluency Direct?

 

A: Yes! - Training sessions will be approximately 1-hour and are important to attend to set up your initial profile configuration. End users will achieve the highest level of satisfaction by correctly setting up their profile. Training sessions will be an instructional format with a live trainer from 3M/M*Modal.

 

Q: How do I sign up for training? When is training?

 

A: For those end users in the first phase of the rollout, a communication will be sent in December to sign up for training. Training will occur over several weeks in January - early February 2021. There will be multiple date/time options available.

 

Q: After I'm trained, when can I start using Fluency Direct with MiChart?

A: The day you are trained is the day you can start using Fluency Direct with MiChart.

 Q: What other voice features will be available after implementing Fluency Direct?

 

A: Fluency Direct enables Michigan Medicine to offer "Hey Epic" voice-activated controls in MiChart once 'Hey Epic' feature is implemented in Michart.

 

Q: Do users need to sign up for one of the online vendor-led training classes?

A: It is recommended that everyone take the training before using. There are a few key things you have to make sure you set up for the best results. If you do not want to sign up for one of the online vendor-led training classes at this time, there will be a training video that will be made available in mid-February to new users and you can wait for that and take the training that way when you are ready.
