Introduction

Orientation to Instrument Admin

Left Side Panel - This is the Pallet which contains different Item types that can be added to an Instrument

Center Panel - This is the Canvas where the Instrument is assembled and arranged

Right Side Panel - This is the Configuration panel. Each Item Type has different aspects that can be configured for them.

PEN Steps

The most complicated part of creating an instrument for PEN is the different steps (called Delivery Plan Steps in the item configuration panel. Each Exam/Instrument Type can have different steps in the process. 

For Example: A PEN exam has 4 steps 

  • Exam - what the student will see on exam day
  • Grading - what the grader will see
  • Remediation - what the student will see when completing a remediation
  • Remediation Grading - what the grader will see when grading the remediation

If an Item is marked as "All Steps" it will be shown at every step in the process. (When a person is taking it, it will be in its editable view, and it will be in its non-editable, outcome style when someone is viewing the outcome)

If an item is marked as "Exam" it will appear in the editable form when the test taker is taking the exam, in all other steps it will be in its outcome view. 

For example: Comment item type - When a test taker is taking the exam the comment will display as an open text box where they can add in text, on all other steps it will display as read only text for others to view, but not as an open text box

If an item is marked as "Grading" it will not appear in the Exam view and will only appear in the Grading step, being editable or completable here and then in every other step it will be in the outcome form and read only. 

The best way to ensure the instrument is set up as desired it by previewing it in the different steps and adjusting as needed.

 

All Items Have Two States

Edit View - What a person sees when they are editing or completing that item

Outcome View - What a person sees when they are viewing a completed item

For Example, Comment type

  • In the Edit view it is an open text box that someone can input text into
  • In the Outcome view it looks like text on a page, is not in a box and is not editable

 

Item Types

Layout

Section

This is an organizing item, it groups things together in a box. Other Item types can go into a section, as well as other sections. Items in a section will somewhat inherit the delivery plan step. Unless you want a section and all of it's contents to ONLY appear in a certain step, it is best to leave the section as All Steps.

In the Edit view a section is a box with a light gray background and med. Blue top bar. The prompt is in white text. 

In the Outcome view the light gray background is replaced by a white background

This is the only Item type that does not require a prompt and can be left blank.

 

Text

Title

Is the largest sized text. It displays left align, black, and 30 px.

 

Heading

Is the second largest size text. It displays centered with a rule underneath it. UM Blue and 28 px.

 

Subheading

Is a smaller text size. It displays left aligned, UM Blue and 18 px.

 

Paragraph Text

Is a normal sized text. It displays left aligned, UM Blue and 14 px.

 

Help Text

Is an accent text. It displays left aligned, Italic, in a gold color.

 

Questions

Comment

Is an open text box where users can enter text

  • Edit view - Is an open text box where users can enter text, box is expandable by pulling on the bottom right corner, also expands as the text fills the box. 
  • Outcome view - UM blue text in italic on a beige background

 

Multi-Comment

Allows for multiple (shorter) text boxes for users to enter that are grouped together

  • Edit view - Single row text boxes stacked above each other with the prompt on the left
  • Outcome view UM blue text in italic to the right of the prompt (no background color)

 

Multiple Choice

Allows for non scored radio button selection

  • Edit view - Horizontally displayed radio buttons with descriptive text above and a vertical rule separating choices 
  • Outcome view same radio buttons but with the selected one dark blue with a white checkmark

 

Rating

Allows for scorable radio button selection

  • Edit view - Horizontally displayed radio buttons with descriptive text above and a vertical rule separating choices 
  • Outcome view same radio buttons but with the selected one dark blue with a white checkmark

 

Dropdown

Allows for a dropdown section (not currently configured for exams)

 

Matrix

Allows for multiple choice select across multiple prompts with a shared heading for each selection (not currently configured for exams)

 

Checkbox

Allows for a single checkbox option (not currently configured for exams)

 

Configurations That Are the Same For All Item Types

Prompt

This is text that will be displayed for the given item type. Each Item type has distinct styling for how the text will display, however Bold and Italics can also be selected. 

Links and images can also be added to the prompt.

 

Delivery Plan Step

This is when in the process a user should FIRST see this item, and when this Item is in the active "Edit View" *

 

Outcome Label

This allows you to modify what is displayed in the Outcome for the prompt when the completed item is displayed.

For Example,
Prompt - "Please provide comments on this area"
Outcome Label - "Comments" 

 

Visible On

This allows you to control who can see this item in the different states of an Instrument. 

For example, if there are grading instructions that students should not see, both "Test Take Edit View" and "Test Take Outcome View" should be deselected.

*Each Exam/Instrument Type can have different steps in the process.

  • Exam - what the student will see on exam day
  • Grading - what the grader will see
  • Remediation - what the student will see when completing a remediation
  • Remediation Grading - what the grader will see when grading the remediation

 

Special Configuration Options for Question Item Types

Required

An option for all question Item Types and will not let the exam be submitted until the question has been answered. 

 

Rubric

Rubrics must be configured by Software Delivery, but are what is displayed as the selection choices. (available for Multiple Choice, Rating and Matrix)

 

Overall Outcome

Only one overall outcome can be selected for an Instrument, this will make the selection selected be what displays as an outcome for the exam.

For example, on the Post-Encouter Notes page in Learning Outcomes, the response selected here will show up in the column "Outcome" 

 

Report Label

Allows for a shortened label to be used in reports in Exam Management. (available for all Question Item Types except Matrix)

Apply Special Formatting to Text

  • You can apply special formatting like bolding, italics or active links by using the buttons that appear in the Item Configuration panel. You can also use what is called markdown.
  • When you highlight text and click one of those buttons, you will see that markdown such as 2 asterisks before and after bolded text will automatically be applied in the Item Configuration panel, and you will see the formatting take effect in the center preview section.
  • If you're comfortable with the markdown symbols, you can also do that rather than use the buttons. 
  • Using markdown, you can also apply formatting other than bold, italic and links. To view other possibilities and what the markdown for each is, read about markdown basics here
  • Warning: One of the types of markdown is for bulleted list. If you type a number and a period, it will not behave the way you expect. Instead, use 1) or just 1

 

Including Images

Like you can add a link, you can also link to an image that is hosted somewhere online and it will display inline within the item prompt. There is an image button within the Item Configuration panel, click on that and then enter the URL of an image. The image will need to be hosted somewhere and have a direct link to it. MBox can be used for this.

 

In MBox start by uploading an image

  1. Click on the share button in the far right of the row for the image.

  3. Change who it is shared with from "invited people only" to "People with the link"

  4. Then click on Link Settings

  5. Copy the direct link, this can then be pasted into the link option in instrument admin and you should see it previewed in the instrument.

Instrument States

Draft

  • Instrument Administrator can edit everything for a draft instrument, including adding and removing components
  • Not available in Exam Management for selection.

 

Active

  • Editing is allowed while an instrument is active, until the first completed exam has been submitted. At that point, minor editing is allowed by the system, such as examples below. But adding or removing questions is not allowed once the first exam has been completed. 
    • Editing prompts 
    • Editing Report Labels
    • Editing Visible on
    • Editing Deliver Plan Step
    • Making an item required or unrequired
    • Any type of visual rearrangement
  • Available in Exam Management for selection.
  • Once an active instrument has had assignments made to it, you will not be able to change the status back to draft

 

Inactive

  • Instrument Administrator cannot edit instrument.
  • Not available in Exam Management  for selection.
  • Outstanding exams cannot be completed by test taker or grader

 

Actions

Edit

  • Directs you to the edit screen for an Instrument
  • Editing of Instrument will be dictated by its status (Draft, Active, Inactive)

 

Copy

  • Allows you to copy all of an instrument and create a new version
  • This is useful for creating a template or Master Instrument that can then be copied and edited to meet the assessments needs for an Instrument.

 

Archive

  • Archived Instruments are by default hidden from the Instrument list
  • Editing of an Archived Instrument will be dictated by its status (Draft, Active, Inactive)
  • Archived Instruments can not be selected in Exam Management
  • Outstanding Exams may be completed by test takers and graders.
  • Archived is useful when a new version of an instrument is created. Archiving the old version will ensure that no new assessments will be created using it, while allowing existing assessments to still be completed by assessors.

 

Delete

  • An Instrument can only be deleted if there are no Exams associated with it.
