Introduction
The Hiring Candidate List page shows all the candidates within your department who are in the process of being hired, or who have been hired, within Meridian.
Instructions
The List page is composed of cards, with each card representing a different candidate in the hiring process. These cards are initially sorted by their Proposed Start Date, and reflect key details about who the candidate is and what step of the hiring process they are at. Each card contains the following:
- Candidate Name
- Initially the placeholder name, this will be replaced with the candidate's actual name when entered into the workflow
- Uniqname
- Initially blank, this will be replaced with the candidate's uniqname when entered into the workflow
- Candidate ID (CID)
- This is the unique identifier for the candidate within the hiring process
- Multiple CIDs can be attached to a single PID, to track multiple attempts to fill a position
- [Hiring] Position ID (PID)
- This is the unique identifier for the Hiring position within the hiring process (it stays the same regardless of the candidate in the workflow)
- Position Control Number (PCN)
- This is the unique identifier for the Track-based seat that the candidate will be filling
- Learn more about Position Control functionality
- Department
- Track & Rank
- Academic Start Date
- This originally comes from the planning position (or unplanned position)
- Clinical Start Date
- This is entered during Credentialing (if applicable)
- Section Name
- A section represents a discrete step or section of the hiring process, and often needs approval to move forward
- There are can be up to nine section within Meridian's hiring workflow: Position Approval, Offer Prep, Offer Response, Candidate Prep, Candidate Info, Appointing, Credentialing for Department, Credentialing for Candidate, and Enrollment
- Section Status (Color and Label)
- This indicates whether the section is currently being worked on, waiting for approval, already approved, etc.
- Orange = In Progress or Revisions Requested; Blue = Approved; Red = Cancelled; Gray = Not Started
Clicking on a card takes you into the specific hiring workflow for that candidate, where you can add/change/delete data and submit it for approval. See the Hiring Detail Basics knowledge article for more information. Click the arrow button in the upper-right corner of the card to open the detail page in a new browser tab/window.
Search Bar
Typing one or more characters into the Search bar will immediately filter the candidate cards to only those with data matching what you typed. This search looks across all visible data on each card.
For example, typing "Rob" will find all candidates with those letters in their name or uniqname; typing "123" will find that number among the Name, Candidate ID, or Date field; and typing "Tenure" will find all those candidates who are applying for a tenure track position.
Delete what you typed to reset the page to its original list of candidates.
Filtering
Clicking the Filters button (next to the Search bar) will display a panel containing key attributes and their values.
The three toggles at the top allow you to 'add in' candidates of a non-active status, including Planned, Cancelled, and Completed.
- Planned New Hires are shown as yellow cards, and represent a new hire plan (from the Planning area of Meridian) that can be used to start a Hiring activity
- Cancelled candidates are shown as gray cards, and represent a candidate who has declined or otherwise exited the hiring process for this position
- Completed candidates are shown as white cards, and represent an in-process candidate who is finished with the hiring process (according to Meridian, not HR)
The Awaiting Approval filters allow you to select just those candidates who have one or more Academic References or Clinical Assessments that need review/approval by OFA or MSS.
The Track checkboxes allow you to narrow the candidate cards to just the track or tracks you want to see.
With the new Status filters, you now have the option to narrow the candidate cards to a single section of the workflow and by one or more specific statuses within those sections. For example:
- Selecting "Enrollment" will show only those candidates who have Enrollment as part of their workflow
- Selecting "Awaiting Approval" inside "Offer Prep" will show only those candidates needing their offer letters approved
Options are also combinable in certain ways. Examples:
- Selecting "Clinical Track" and "Research Track" will show only those candidates in the Clinical track OR Research Track
- Selecting "Clinical Track" and "Awaiting Approval" inside "Offer Prep" will show only Clinical Track candidates needing their offers approved
Click in the Filter button again to close the panel. Note that your filter options will still be applied, and your selections will be reflected as blue pills near the top of the page. Click on the 'X' on each pill to remove that filter option, or use the Clear Filters link to remove all filter options and reset the page to its original list of candidates.
Saved Filters (new for May '21)
You can now save combinations of filter attributes into a My Filters dropdown menu, which are personal to you and available across browsing sessions.
Once a filter attribute is selected (including the Search box), there will be a Save button next to the 'blue pills'; use this to name and save your applied filter. It will then be available inside the My Filters menu in the bottom right of the Filter drawer (if the drawer is open) or below the Sort menu (if the drawer is closed).
Simply select one of your saved filters from this menu and the List page will instantly apply those pre-selected filter attributes. You may name these however you want, and you can save as many of them as you'd like -- get creative!
Note that saved filters can also be updated (via Save Changes), renamed, duplicated (via Save As New), and deleted; all of these are available via the vertical triple-dot button next to the My Filters menu.
Sorting
At the top right corner of the Hiring List is the Sort menu. It allows you to change the order in which the candidate cards are displayed. While the default sort is by Proposed Start Date, you can change it to:
- Academic Start Date
- Clinical Start Date
- Name
- Uniqname
- CID (Candidate ID)
- PID (Position ID)
- Track and Rank
- Status Last Updated
- Planned New Hires First*
Selecting one of the options will re-sort the candidate cards in your list, ascending (lowest or earliest value first). If you want to reverse the sort order, use the Sort Direction button to the side of the Sort menu. Like the filters, your selected sort option will be preserved across browsing sessions.
* The Planned New Hires First option is a bit special — it displays all the Planned New Hires (the yellow cards from Planning) at the top of your list — but first you need to turn on the 'Include Planned New Hires' filter toggle in order to include the yellow cards in the list. Using this sort+filter combination will create a dashboard-style view that makes it easier to find and use these yellow cards for candidate hiring.
Export (new for May '21)
The Hiring List page's data can be exported into an external CSV (comma-separated values) file that you can use in Excel or other programs to view or manipulate the information.
Clicking the Export button will give you two options: All and Filtered. "All" downloads all data known to the List page (including all filter options such as Completed and Cancelled) within the selected department; "Filtered" downloads only the data that correspond to any currently-applied filters (such as if you have narrowed to a specific Track).
