Introduction
The Hiring Detail page shows specific hiring process details for a given faculty candidate. Available from both the Faculty Roster and the Hiring Candidate List page, this view allows you to see what part of the process the candidate is in, review what data has already been entered, add/change/remove data from the workflow process, submit for approval, and communicate with the Candidate, OFA, MSS, or PE via Messages.
To access the list of all candidates in the Hiring activity for your department, go to the Hiring Listing page via the Hiring link in the left sidebar navigation.
Instructions
Detail Page
The detail page is composed of the following parts:
- Title bar
- Contains position-level actions such as Watchlist, Summary Views, and Cancel Hiring
- Candidate and Position header
- This area shows the candidate's legal name*, CID, department, track/rank, and relevant dates
- It also shows the Position this candidate is associated with, including the PID and PCN
- Workflow strip
- Contains the parts, or phases, of the hiring workflow currently within Meridian
- Colored dots indicate the status of each phase
- Section detail drawers
- Below the Workflow strip is the contents of each section, contained in collapsible/expandable drawers
- Within each section are forms containing individual data elements, primarily inputted by a department admin
- Messages are also contained within each drawer
- The status of each section is also reiterated at the top of the drawer, near the section name
(*) Note about Legal Name: Meridian Hiring uses the candidate's legal name as their primary name (as of January 2023), and also displays their preferred name if it is different than the legal name. Both of these names are pulled from an institutional source (MCommunity), and correspond to the candidate's uniqname entered into Meridian. If either the legal or preferred name is considered incorrect, please contact Campus IT (or ask the HITS Help Desk for assistance).
The primary user workflow for this page is intended to be generally linear, matching the process of how a candidate is recruited and appointed at the Medical School. Therefore the sections are presented linearly, with approval gates after each one. In general, department admins are expected to fill out the form inside each section and submit it for approval. Once the approver (OFA, MSS, or PE) approves the section's contents, the next section 'opens up', allowing the department admin to continue filling out the next form. Where allowed (and noted below), multiple sections may be open concurrently.
The nine sections within Hiring are:
- Position Approval
- Formerly called RFP, this is the form used to request approval from OFA to move forward with hiring for this position
- Includes "selecting the seat" (aka Position Control functionality).
- Offer Prep
- Collects some initial candidate detail, including the draft offer letter
- This is 'open' concurrently with Position Approval, allowing you to enter data while waiting for the position to be approved
- Offer Response
- Captures the candidate response and the signed offer letter
- Candidate Prep
- Assuming the candidate accepted the offer, this area prepares the data necessary to send the candidate onto their background check (or skips it)
- Candidate Info (Background Check)
- Formerly called Pre-Hire, this phase does two things regarding the candidate's background check:
- Shows the data that the candidate is inputting via their Candidate Site
- Sends the candidate data to the background check vendor (HireRight), receives the results, and approves or denies the candidate
- Formerly called Pre-Hire, this phase does two things regarding the candidate's background check:
- Appointing
- Collects and solicits academic references
- Collects other documents from the candidate and department related to Appointing
- Packet assembly and committee approvals
- Credentialing for Department
- Collects the internal data points needed for Credentialing
- Credentialing for Candidate
- Collects and solicits clinical assessments
- Collects data for the Credentialing 'application'
- Education, Licensure, Insurance History, etc.
- Allows the candidate to attest
- Enrollment
- The data needed from candidates and departments for Provider Enrollment

Section Status
Each section has a status (displayed as text in a colored bubble), and this informs departments and approvers which part of the workflow process the candidate is in. Examples of status changes include submitting a section for approval, or OFA approving a section.
Some common statuses are:
- In Progress
- The department admin is filling out form by adding/changing/removing data
- Awaiting Approval
- The department admin submitted the form for approval
- Approved
- OFA/MSS/PE has approved the data in the phase
- Revisions Requested
- OFA/MSS/PE has sent this phase back to the department for revisions
- Not Started
- A future phase that is not yet 'open' for data input
Note: Some sections may have additional statuses specific to their sub-workflow.
These statuses are displayed in the drawer's header, the Workflow strip below the candidate header, and also on the candidate's card on the Hiring Listing page.
Messages (Formerly Comments)
To facilitate communication between department admins, OFA/MSS/PE, and candidates, a Messages section is present within the right side of each section. Messages allows users to send notes or questions to each other about the hiring process.
Messages are presented reverse-chronologically (newest message at the bottom), similar to a text messaging app. Anyone who has access to this specific hiring detail (including OFA/MSS/PE) will be able to see the message.
To add a message, type your note in the input box and press the Enter button on your keyboard, or click the 'Send' icon next to the input box. The key combination of Shift and Enter allows you to enter line breaks without submitting the message.
- Selecting the 'Candidate Visible' checkbox sends your message to the Candidate Site, where it is viewable by the candidate. The candidate-viewable message is then identified with an eyeball icon. Departments and OFA/MSS/PE can also see messages sent by the candidate; these will be identified with a person icon. Note that only some phases have this 'Candidate Visible' option; this is because candidates only have access to certain sections.
To edit or delete an existing message, click the pencil or trashcan icons, respectively. While editing a message, you have the option to select or deselect the 'Candidate Visible' option, in case you change your mind.
Note: Messages from people other than yourself do not appear dynamically; refresh or revisit the page to see if other people have messaged you on your section. Alternatively, opting in to the Watchlist allows Meridian to send you email notifications when people leave a message on a workflow you are interested in. Read more about the Watchlist.
