Introduction
Meridian Email Notifications (also referred to as the Watchlist) allows those users working on Hiring or Promotion faculty candidate workflows to receive email updates about notable actions occurring on those workflows. These notable actions include:
- Messages
- Status Transitions
- Academic References
- Clinical Assessments
- Education & Training Verification
- Cancellations
Originally, these notifications were limited to those users who were on the Watchlist for a given candidate, but this preference can now be broadened for each individual user, to be based on Department/Division, Track, or Phase via the Preferences area (the Gear icon at the top of every Meridian screen).
Note: Candidates are automatically but only partially involved in Email Notifications. They will receive an email notification if they are sent a Message, but not when statuses are transitioned or if their hiring process was cancelled.
Instructions
Adjusting Email Notifications (via User Preferences Panel):
Email Notifications
As mentioned above, Meridian has the ability to send email notifications for the following notable actions:
- Messages (a message is added)
- Status Transitions (a blue button is pushed to advance (or retract a workflow step)
- Academic References (letter submission and OFA approval status) [Appointing & Promotion]
- Clinical Assessments (when a response is received) [Credentialing-only]
- Education & Training Verification (when a response is received) [Credentialing-only]
- Cancellations (when a candidate (CID) or workflow (PID) is cancelled)
Each of these notification types can be toggled on or off based on your individual preference; for example, if you want to receive notifications only for Messages and Status Transitions, you can toggle the remaining types off and you will not receive those emails.
If toggled on, you have the ability to further customize each notification type by clicking the Customize link next to the toggle. Additional options expand below, including:
- Watchlists I'm On
- Department/Division
- Track
- Phase (section of a Hiring workflow)
- Not all types have the Phase option, since some types are phase-independent; Promotion also has no Phase options.
By default, "Watchlists I'm On" is selected, meaning that you will continue to receive notifications for watchlists you are on, unless you unselect this option.
The "Department/Division", "Track", and "Phase" options allow you to select one or more specific Departments, Tracks, or Phases you want emails for, which can be used to either limit or expand your notifications, within the department(s) you have access to.
The "All of the above conditions are true" and "Any of the above conditions are true" allows you to combine or separate the options you select within a notification type. ("All" is the logical 'AND', which means only when the conditions overlap; "Any" is the logical "OR", which means you will receive an email even if just one of the conditions is true.)
Here are some examples, both more selective and more broad:
- More Selective: To receive only Appointing-specific Status Transition emails for Tenure-track candidates you monitor via the Watchlist, you could select "Watchlists I'm On" and "Track = Tenure" and "Phase = Appointing", and select "All of the above conditions are true", within the Status Transitions notification type.
- This means you would NOT receive status transition emails about candidates who are on a different track or in a different phase, even if you were on their Watchlists.
- More Broad: To receive emails regardless of Watchlists you are on (but still within the department(s) you have access to), such as if you were monitoring Messages for all Clinical track faculty, or suddenly covering for another colleague when they were on PTO, you could unselect "Watchlists I'm On", and only select "Track = Clinical", within the Messages notification type.
- This means that you would receive notifications for all Messages left on all Clinical track candidate workflows within your department(s), without needing to be on the individual Watchlists.
Try it out! There are hundreds of combinations you could set up within the User Preferences panel, to uniquely tailor your email notifications to your work style and business process.

Watchlist Auto-Add
Being added to the Watchlist is automatic if you add a message or perform a status transition on the candidate record, but this can be toggled on/off as well. This defaults to being turned on for every Meridian Hiring user, but if you do not want to be automatically added to candidate hiring watchlists whenever you interact with them, toggle this feature off. This will prevent you from being added to future watchlists automatically; however, this does not prevent you or others from manually adding you. You will also still receive emails for current watchlists you are on.
To remove yourself from all current watchlists, click the "Remove me from all Watchlists" link in the Preferences panel. This will stop sending you email notifications from all watchlists you were on. By also toggling off the auto-add above, you can prevent Meridian from sending you any email notifications, if you wish.
Watchlist Panel (Inside the Hiring Detail Page)
The Watchlist is a list of people who will receive an email notification whenever a phase is transitioned, a message is added, or a candidate is cancelled. Click the Watchlist button near the top of the Hiring Detail page to see who is currently on the Watchlist. The list is unique to each candidate (not department or a person's role). People get into the Watchlist via two ways:
- manual addition via the Search box in the Watchlist panel
- automatic addition via the Auto-Add feature (if it is toggled on)
Note: if you are not receiving notifications of a specific type or for a certain candidate, you may have your Email Notifications preferences adjusted to not receive certain notifications (or not be based on the Watchlist at all) - see above.
Anyone with edit-access to the candidate's workflow can add another person to the watchlist, as long as that person is a U-M faculty or staff AND has Meridian access. People can be individually removed from this list as well.
Automatic addition (if it is toggled on) for the logged-in person occurs the first time they transition a phase (submit, revise, approve, etc.), leave a Message, or cancel a candidate; again, this is per candidate.
