Qualtrics - Transfer Survey Ownership


Introduction

A survey can only have one owner, though ownership can be transferred to another user by a Qualtrics brand administrator if needed. To transfer surveys between individuals on the same brand, submit a request to HITS using the Qualtrics - Transfer Ownership of Survey item in the Service Catalog.

 

To transfer a survey to a user on a different brand, two options are available:

  • Sharing: If the survey has never been distributed (has no response data), the survey can be shared with another user and then that user can make a copy of the shared survey. The original can then be deleted and the copy renamed to the original name.
  • Export/Import: If the survey has been distributed, the survey must be exported from the original account and then imported into the other account.  If the survey contains data, its data must then be exported from the original account and then imported into the survey under the other account.  The original survey can then be deleted.  WARNING: Transferring a survey using this mechanism will change its distribution links, so typically only inactive surveys should be transferred. Once a survey is transferred, be sure to update any references to the survey to use its new link.

 

Transferring the Survey

Surveys can be exported from the current brand and imported into a different one.  Note: Results are not transferred with the survey; they must be transferred separately.

  1. Towards the upper left corner to the right of the XM logo, click the Main Menu button (three horizontal lines) and select Projects. Locate the survey in the list.
    • Click its name; or
    • On the far right of the window in its row, click its Actions drop-down (three horizontal dots) and select Edit Survey.
  2. Towards the top of the window, roughly centered within the window, click the Tools button, select Import/Export, and then select Export Survey. The survey will immediately be exported to either your Desktop or personal Downloads folder (there is no dialog box to choose) as a .qsf file with the same name as the survey.
  3. On the new brand, towards the upper left corner to the right of the XM logo, click the Main Menu button (three horizontal lines) and select Projects.
  4. Towards the upper right corner, click the blue Create project button.
  5. After the Create a project screen loads, under the From scratch heading, click the Survey button.  A panel will appear on the right side of the window.
  6. At the bottom of the panel on the right, click the blue Get started button.  The window will reload with the Create a new project screen.
  7. Under the How do you want to start your survey? question, click the dropdown and select the Import a QSF File option and then click the Choose file button.
  8. Use the dialog box to locate and select the .qsf file.  Click the Upload button.
  9. By default, the Name will be the same as the original survey with underscores in place of the spaces in the name. The name can be changed on this screen or after import to replace the underscores.
  10. At the bottom of the window, click the blue Create project button.

This process must be repeated with each survey. 

 

Transferring the Data

  1. Towards the upper left corner to the right of the XM logo, click the Main Menu button (three horizontal lines) and select Projects. Locate the survey in the list.
    • Click its name and then click the Data & Analysis tab; or
    • On the far right of the window in its row, click its Actions drop-down (three horizontal dots) and select Data & Analysis.
  2. In the second row of tabs, confirm the Data tab is selected.  (Data should be selected by default.)
  3. Above the response list, on the right, click the Export/Import button and select the Export Data... option.
  4. Confirm the CSV (Comma separated values) tab is selected.
  5. Confirm the Download all fields box and the Use choice text option are selected.
  6. Towards the bottom, middle of the pop-up, click the More options button.
  7. Uncheck the Compress data as .zip file option. Typically none of the options should be enabled, but they can be if needed.
  8. Scroll to the bottom of the pop-up and click the Download button. The data will immediately be exported to either your Desktop or personal Downloads folder (there is no dialog box to choose) as a .csv file with the same name as the survey.
  9. The Manage Downloads pop-up provides an option to re-download the file if necessary. Click the Close button.
  10. On the new brand, towards the upper left corner to the right of the XM logo, click the Main Menu button (three horizontal lines) and select Projects. Locate the imported survey in the list.
    • Click its name and then click the Data & Analysis tab; or
    • On the far right of the window in its row, click its Actions drop-down (three horizontal dots) and select Data & Analysis.
  11. In the second row of tabs, confirm the Data tab is selected.
  12. Above the response list, on the right, click the Export/Import button and select the Import Data... option.
  13. In the Upload response data pop-up, click the Choose file button. Locate and select the exported .csv file.
  14. Click the Upload button.

This process must be repeated with each survey containing response data.
