Introduction
The IDP is generated by undergraduate medical students in collaboration with their coach, branch adviser and other advisers as they move through curricular phases. The IDP consists of goals, action items and meeting notes documented by students and updated over time.
It consists of four components to support this functionality:
- The Goal Tracker is the page from which students can edit goals and action items, and where coaches/advisors can view those when they click through from the IDP Dashboard. Students will also edit text items that appear on the Dashboard here. Both students and advisors can comment on goals.
- The IDP Dashboard is an overview of a student's goals and action items, along with contextual information about student assessment and status and other elements useful for capturing student progress against the plan.
- The Meeting Notes tab is where students can make agendas and/or take meeting notes, and where students and advisors can both comment on the note
- The Impact Assessment tab is where students can request their CFI advisor assess their Capstone for Impact project check in or final project. Students and others can also see the status of these assessments and what the outcomes are.
Instructions
For Students
Create a Goal
- Click Add Goal.
- Enter a short description or title of the goal. (This is the only required field.)
- Enter a timeframe (if desired).
- This is open text and can be anything from "this week" to "April 1, 2022."
- Enter a description.
- This is an area to enter more detailed information if needed about the goal.
- Add attachments.
- Upload either PNGs or PDFs.
- Give the attachment a description so people know what it is.
- Create action items.
- Click Add Action Item.
- Enter the action item.
- Either click Add Action Item or press Tab and Enter.
- Enter another action item.
- Click Done when complete.
- Add Tags to a goal.
- Goals that are tagged with the same tag can be viewed together by selecting the desired goal from the goal filter.
- Goals that are tagged with the same tag can be viewed together by selecting the desired goal from the goal filter.
Sharing Goals
By default all goals are private and only you can see them. By clicking Share you can select who you want to share each goal with. Note: "Branch Team" includes Branch Advisor, Branch Director, Branch Coordinator, Branch Competency Committee Member.
Edit a Goal
Click in the goal box to edit the goal.
- All fields are editable
- Action items can be added, edited or checked off as complete or created
- Action Items can be rearranged (drag and drop)
- A goal can be retired or completed
- Tags can be added or removed
Commenting on Goals
Anyone who you have shared a goal with can comment on a goal and see comments on that goal.
- To view comments click on Comments to expand comments
- Click on Add a Comment in order to add a comment.
- You can also edit or delete any comment that you have made.
- Students receive an email when a faculty advisor adds a comment to a goal or meeting note.
What Goals Show Up on the Dashboard?
The top 3 goals in order on the goal tracker page (that are visible to the person who is viewing it) will show up in the Goals section of the Dashboard. You can drag and drop goals to determine which you want as the top ones.
For the example above, the Dashboard Goals section would display:
- "My Goal My Goal"
- "Get placed at my top pick residency program"
- "Define scope for my thesis"
- Your Coach would see
- "My Goal My Goal"

Dashboard Sections: Editable and Non-Editable
Student Information Panel
This is collapsed by default but can be opened up to show your photo, uniqname, name, level, PoE, House, Coaching Faculty, and Branch Advisor. This is the same information that is shown in Learning Outcomes.
Life Events/Situations (editable)
- This is an editable text box where you can communicate major upcoming life events or situations you may want your Branch Advisor/Coach to know about.
Mission, Vision and Values (editable)
- This is an editable text box where you can write/update your Mission Statement.
Goals
- This panel shows the top 3 goals (visible for each person) from the Goal Tracker page. If you want to change what is shown here you can reorder goals on the Goal Tracker page. Advisors/coaches can click through from here to see the full goals.
Scientific Trunk
- This panel shows year cumulations from the Scientific Trunk. This is the same information shown on the Summary page of Academic Outcomes in Learning Outcomes.
Specialty Interest
- This is an editable text box where you can enter your Specialty Interest.
Clinical Trunk
- This panel shows final grades for all completed Required Clerkships
Capstone for Impact
- This panel shows any goals tagged with Impact as well as the status of the check in's and final assessment
Scholarship and Extracurricular Activities (editable)
- This is an editable text box where you can enter information about those activities.
Capstone for Impact
IDP supports the Capstone for Impact project in multiple ways. For more details on how to use it, see Capstone for Impact
- Goals can be tagged with "PoE/Capstone for Impact" this will allow users to filter by this tag, this will also make these "goals" appear in the Capstone for Impact widget.
- Attachments related to the project can also be uploaded as part of the "goal" to make sharing artifacts easy.
- Goals and Meeting notes can be shared with CFI Advisor (and branch team) so that a CFI Advisor can review the project.
- Impact Assessment tab
- Here students can request assessments for their Check-In and Final Assessment
- Students and others can see the outcome of the Check-ins and Final Assessment
- CFI Advisors can complete the Check-ins and Final Assessment
Meeting Notes
Create a Meeting Notes
- Click Create Note.
- Enter a title.
- Write up the meeting notes.
Editing/Deleting Meeting Notes
- You can edit the meeting note at any time by clicking the edit link
- You can delete a meeting note if there are NO comments associated with it. Once a comment has been entered to it, it cannot be deleted. To delete, click the edit link and then delete.
- You can control who can see the meeting notes in the same way as goals; click visibility and select what role should see it.
- Remember, if you do not share the note, only you will be able to see it
Sharing Meeting Notes
- Meeting notes are private unless you click Share on the note and choose who you want to have access to that note.
Finding/Organizing Meeting Notes
- Meeting notes are sorted by create date (most recent at the top).
- You can search the titles of meeting notes to filter the list, by starting to type in the Filter by Title box.
Commenting on Meeting Notes
- Anyone who can see the meeting notes (as set in Visibility) can comment on it.
- Students receive an email when a faculty advisor adds a comment to a goal or meeting note.
- You can edit/delete your own comments, and coaches and branch advisors can edit/delete their own comments (by clicking either the edit or the delete link)
Notifications
You can notify your branch advisor if you make an update in your IDP you would like to let them know about. Click the Send Notification button on the Dashboard tab, type your message, choose which role you want the message to go to and click Send. The person in the role you choose will get an email with your message and a link to your IDP.
For Branch Advisors, Coaches, and Other Goal-Viewing Roles
- In their IDP, students create and manage goals, action items, meeting notes and some basic information about their academic and career trajectories.
- IDP is part of the ARB Suite, which means when you view a student's IDP you'll be able to easily navigate to that student's Learning Outcomes or schedule for reference.
- To access the IDP of a student you advise, go to ARB Suite. In the Coaching/Advising section you'll see a tab specific to your role, displaying the students you are assigned to advise. Click on the checkmark icon to go to a student's IDP.
Access the IDP
- The IDP consists of three sections:
- The Dashboard gives you a quick overview of a student's top 3 goals, their clinical trunk grades, and scientific trunk cumulations and information the student enters, like their mission statement, important life events, and specialty interest.
- The Goal Tracker shows you any goals a student has shared with you, along with any action items or attachments they have added to goals. You can comment on goals, as can students. Students receive an email notifying them if you make a comment. If you are expecting to see goals that are not visible to you, ask the student to go into their IDP, click Share and share each of those goals with you.
- Meeting Notes is where students can add a note with agendas and/or notes from your regular meetings. You can add components to a note, as can the student. Students receive an email notifying them if you make a comment.
Dashboard
- Each box is collapsible. Click on the arrow to open a collapsed box.
- Life Events/Situations, Mission, Vision and Values, Specialty Interest and Scholarship and Extracurricular Activities are all text boxes the student can add to and edit at any time.
- Each of these will show a Last Updated date stamp any time a student makes an change in these boxes, so you can tell when there's something new.
- Goals shows the top 3 goals the student has entered on their Goal Tracker page. (They can rank and re-rank at any time to control which are their top 3).
- Scientific Trunk and Clinical Trunk are automatically updated from the student's Learning Outcomes.
- Capstone for Impact reflects status of a student's check-in's with their CFI advisor, and shows any goals they have tagged with CFI.
Goal Tracker Page
- On this page you will see all goals that have been shared with you. Over time, students can archive or retire goals. You can view archived or retired goals by clicking in the dropdown box that says Goals: Current.
- Students can tag goals from a preset list of choices (e.g.POE/Capstone for Impact, Wellness, Matching). You can filter the list of goals to see just goals with these tags.
Commenting on Goals
Anyone the student has shared a goal will be able to see and make comments on a goal.
- To view comments click on Comments to expand comments
- Click on Add a Comment in order to add a comment. Students receive an email when a faculty advisor adds a comment to a goal or meeting note.
- You can also edit or delete any comment that you have made.
Meeting Notes Page
- Meeting notes are written by students
- Comments can be added by either students or advisors/coaches
- Students control who they want to share goals and meeting notes with.
- When students make updates they can send notifications to their branch advisor or coach with a quick message, which you will receive as an email with a link to their IDP
