ARB Suite - Assessments Hub


Introduction

The Assessments Hub in ARB is where faculty/assessors can:

  • view a to-do list of assessments assigned to or requested of them
  • view assessments they've completed in the past
  • self-assign assessments (in clerkships that use that functionality)
  • complete Professionalism Commendation or Professionalism Development Reports for a student

Students can:

  • request assessments be completed about them
  • track the status of those assessments
  • view and complete any assessments that have been requested of them

Instructions

For Faculty/Assessors

Complete Assessments Assigned to You

  • On the Tasks page you will see a list of any assessments that have been assigned to or requested of you, for you to complete.
  • Click on the row of the assessment you wish to complete. The assessment will then open in a window and you can fill it out.
  • You can either save the assessment to complete later, or save it and submit it.
  • If you do save it for later, when you come back to the Assessments hub, you can sort the table by status to quickly find any in Started status that have not yet been submitted.


View Assessments You Have Completed in the Past

  • To see your past completed assessments, click Completed in the Status dropdown.
  • You can click on any row to see the completed assessment.
  • The Timeframe dropdown allows you to view all previous completed assessments or just the last 6 months.


Self Assign

  • This functionality is only used by particular clerkships. It allows assessors to view a list of students and select who they want to assess. 
  • You can select a period or a particular learning experience to find the set of students are you looking for. 
  • Clicking on a student assigns an assessment to you and opens the form for you to complete.
  • If you don't submit the form you can come back to this page and click on the student again to continue working on the saved assessment. You can also find it on your Tasks page.


Professionalism Commendations and Development Reports

  • On these tabs you can search for a student and select them, then complete the form. 
  • If you select the wrong student, click Change Student to search for a different student.
  • Clicking Submit, sends an email to the Assistant Dean of Student Services with a PDF of the completed form.

How to Request Assessments

Go to ARB Suite and select Assessments to go to the Assessment Hub.

Click on the Request Assessment button in the upper right hand corner of the page. This will open a window where you can make the request.

Steps

  1. Select Assessment
    1. Select an Assessment from the drop-down.

    2. Note: If you see a message, "There are no open Assessments for you to request," that means that an Assessment has not yet been created, or that the start date has not yet passed. If you think you are receiving this message in error, please contact your course/clerkship coordinator.
  2. Add Assessors
    1. Begin adding assessors by entering an assessor's name (first, last or uniqname). Select the assessor from the list that appears when you begin typing.

    2. Note: If you do not see the assessor you are looking for, or they do not have a uniqname, you can add them. See the "External Assessor" section for more information.
    3. Once you have selected that assessor you can search for and add additional assessors if desired. If you have added more than 2 assessors you will need to scroll through the list to see them all (the scroll indicator will not appear on Macs until you mouse over it).
    4. If you have added one by mistake, clicking the x next to the name will remove it.

    1. You can also (optionally) enter a custom message to assessors by composing a message in the Message Text box.

  4. Send
    1. Clicking send will send the assessors an email from you, with your message included at the top and a link to complete the assessment. You will not be cc'd on this email, but you can see that it was sent in this table.


External Assessor/Add by Email Address

If the assessor you would like to add is not associated with the University of Michigan (does not have a uniqname) you can still add them.

Type their email address in the Add Assessors box. You'll see help text with an "add by email address" link. Click that link to add a first and last name, then click Add to add them as a selected assessor.

Monitoring Assessments You Have Requested

Individual Assessments

Individual Assessments are assessments you request of 1 person and can view their individual responses (in Learning Outcomes).

On the Individual Assessments table:

  • You can see if an assessor has started/not started/or completed the assessment.
  • You can send a notification with a standard reminder message to an individual assessor to remind them to complete the assessment.
  • If you have either selected the wrong assessor or entered an incorrect email address you can delete the assessment, as long as it has not been started. Once it is started you cannot delete it.
  • By default the table will show all assessments requested within the last 6 months. You can however, filter to show assessments beyond 6 months, or to only show assessments that are not complete.
  • You can also filter the table by typing in the filter/search box to make finding a specific assessor easier.
  • To view completed assessments, go to your Learning Outcomes.

360 or Summary Assessments

These are assessments where the results will be compiled and presented to you in anonymous form.

On the 360 Assessments table:

  • In order to keep anonymity you cannot see if an individual assessor has completed an assessment, but you can see a tally of how many have been requested and how many are complete.
  • You can send a notification with a standard reminder message to remind assessors to complete the assessment. The system will only send a message to assessors who have not yet completed the requested assessment.
  • You cannot delete an assessment that has been requested, as this may make anonymity not possible.
    • If you entered the wrong assessor or entered an incorrect email address simply request a new one from the correct assessor.
  • You can also filter the table by typing in the filter/search box to make finding a specific assessor easier.
  • To view completed assessments you must go to your Learning Outcomes.
