ServiceNow - Knowledge Article Subscriptions


Introduction

New articles, article changes, and article retirements are processed in ServiceNow every day.  Users with the "knowledge" role have the ability to subscribe to a specific Knowledge Article -- or even an entire Knowledge Base -- to stay up-to-date on changes to that knowledge.

This article will show you how to subscribe to a knowledge article within a knowledge base to receive email notifications about new articles and article revisions or comments, as well as how to view your current subscriptions.

Instructions

Subscribe to a Knowledge Article

Note: In order to subscribe to knowledge articles, one must be an agent in ServiceNow with the Knowledge role (generally HITS staff and Trusted Service Providers).

ServiceNow also provides some documentation.

  1. Open the relevant Knowledge Article within the Knowledge Portal.
  2. Click the Subscribe button in the article header.

    Clicking the Subscribe button in the Knowledge Article will subscribe the user to updates.

  3. The user will now receive emails when the relevant Knowledge Article is updated.

Subscribe to a Knowledge Base

  1. Navigate to the knowledge portal via this link or via the Find Answers button at the Michigan Medicine Help Center.
  2. Under the "Choose a Topic" header, identify the Knowledge Base to subscribe to, then click Subscribe for the relevant Knowledge Base(s).

  3. The user will now receive emails when articles within the relevant Knowledge Base(s) are added or updated.

Manage Knowledge Subscriptions

Viewing your knowledge subscriptions via Notification Settings (see this ServiceNow article for the steps) is the easiest way to see your knowledge article subscriptions.

However, you can also view them by building a report within ServiceNow:

  • Use the Subscription [sn_actsub_subobject_stream] table
  • Add columns/filter criteria:
    • Subscribable Object - Provides the title/Short Description for the knowledge article
    • Subscribable Object Name - "kb_knowledge"
    • Subscribable Object Type - "Knowledge Articles"
    • Subscriber - The person subscribing to that knowledge article
