Interview Weekends - Managing Faculty Proxies in AppAccess


Introduction

Faculty proxies are University of Michigan employees who are authorized to submit information about a faculty member or make changes to a faculty member's profile, on that faculty member's behalf.  For Interview Weekends, this means proxies can log in to the Faculty Availability site and add/change weekend time-slot availability, while the site is accepting submissions. Interview Weekends is set up such that all proxies can view all faculty (but under the assumption that they only modify faculty information for which they are authorized).

A person is a proxy for the Interview Weekends application if they are entered into HITS Software Delivery's AppAccess management system (which controls access to various MedSchool-related applications) with a specific access type for Interview Weekends.

Instructions

To ADD someone as a faculty proxy:

Log into AppAccess using the link above, and ensure you are on the "Manage Access by User" section.  

Search for the proxy's name or uniqname and select them from the resulting dropdown menu.

Once more information appears on the page, verify their appointment (or select the correct one in the dropdown menu if they have multiple appointments).

Then select "PIBS Interview Weekend" from the Application menu, and select "Able to enter availability for any faculty" in the Access Type menu. Click the Assign Access button.

You should see a corresponding access card appear below.

NOTEaccess will be automatically removed if the proxy's status changes from Active to Terminated (leaves the University) or if their department changes; otherwise access will remain for the life of the application. If you want their access to have a custom expiration date, enter it into the Expiration Date field before clicking Assign Access. 

 

To REMOVE someone as a faculty proxy:

Log into AppAccess using the link above, and ensure you are on the "Manage Access by User" section.  

Search for the proxy's name or uniqname and select them from the resulting dropdown menu.

Once more information appears on the page, verify their appointment (or select the correct one in the dropdown menu if they have multiple appointments).

Then find "PIBS Interview Weekend" in the section below the access assignment area (there may be multiple access items in the list). Click the card to open it, and then click the Remove Access button. Interview Weekends should then disappear from the list.
