Training Room Services - MiChart Course Cancellation Guidelines


Introduction

MiChart training has implemented a policy for MiChart class cancellations. This policy identifies the classes with zero enrollments for the following week, which is communicated to the appropriate and necessary people associated with that class.

MiChart training has developed patterns that were created to provide more opportunity for new hires to attend training. The pattern is a standardized set of regularly scheduled course offerings that was put in place to better utilize training resource efficiency and planning. To ensure that resources are being used as efficiently as possible, the class cancellation process will identify the classes with zero enrollment that are to be cancelled on a weekly basis, and communicate accordingly.

DEFINITIONS
  • Patterns : Generalized repeating schedule of classes (day of week and time) not associated with a specific date.
  • Zero Enrollments : Classes that have no students enrolled in the course within the Learning Management System (LMS).
  • ILT : Instructor- Led Training

GUIDELINE STANDARDS
  • Classes with zero enrollment will be cancelled in Cornerstone on the Friday before the training is scheduled.
  • Trainers and training rooms will be released and re-assigned to other mission-critical activities.
PROCEDURE ACTIONS
  1. A report is run to identify courses with zero enrollment for the following week.
  2. Instructional Designers/Credentialed Trainers will notify the training coordinator of any known discrepancies (e.g. operational leader notification of new hire not yet registered).
  3. Courses with zero enrollments will be identified for cancellation.
  4. Courses will be cancelled within the LMS.
  5. Class listing reports will be updated to identify cancelled courses.
  6. Training rooms will be released in the schedule.
  7. Trainers will be assigned to other priorities.
