Tableau - Managing and Changing Content Ownership


Introduction

All Tableau content (Projects, Workbooks, Datasources, etc) have a single owner assigned.

If an owner leaves the organization content usually keeps working but notifications for that content go nowhere. In most cases, ownership can (and should) be changed to a new active owner. Ideally, the current owner can transition ownership before leaving Michigan Medicine. If the user has already left ownership can be changed by Project Owners/Leads or Site Admins.

Caution: If you change the ownership of a workbook or data source that includes embedded credentials to connect to underlying data, the embedded credentials will be deleted.

For flows, embedded credentials are preserved when changing ownership. Connections to published data sources are authenticated using the flow owner and authorized based on their permissions.

You can update the embedded credentials by editing the connection information on Tableau Server. For more information, see Edit Connections. Alternatively, the new owner can download the flow, workbook, or data source and open the item in Tableau Desktop or Prep Builder to update the embedded credentials and then re-publish the content.

Changing Content Ownership

Projects

The current owner of a child project can reassign ownership. If the current owner is still with Michigan Medicine they will need to change ownership.

 

If the owner is no longer with the organization or it is a Top Level Project submit a Tableau Administrative Services request to have the owner changed. Make sure to include:

  • link for Project(s)
  • new owner username

 

Workbook, Published Datasource, Metric, and Ask Data Lenses

The current content owner can change the ownership if still available. If not then the project owner/leads can reassign ownership. 

Keep in mind that datasource credentials will be lost when Workbooks or Datasources are reassigned. 

 

Flows

Flow ownership cannot be reassigned. With permission they can be overwritten which will update the owner. 

 

Collections and Virtual Connections

The content owner can change the ownership. If they are no longer available submit a Tableau Administrative Services request. 

 

Legacy Departmentally Managed Sites

There are a number of departments that manage separate sites on the Michigan Medicine Tableau server. Some information above will apply to any content on those sites, you should contact one of the site admins and not HITS.
