Introduction
This article is intended for all users who make use of the AccuRoute Webapps v6.5 tool. It provides basic information about the tool in a FAQ-style format.

FAQ - AccuRoute WebApps (v6.5)
- Do I have to use the new AccuRoute WebApps or will I be able to use a desktop client similar to what I use today?
- We do not anticipate deploying a desktop client. The WebApps will be the only faxing application available starting November 19th. If you believe you have a special Use Case where the desktop client is necessary, you can send an email to the Document Management Support team with that information and it will be taken into consideration.
- I don't send faxes but I receive them in my Outlook email. What changes should I expect?
- None. Incoming fax processes will not change. After the Fax Server is upgraded your Outlook email and/or fax server mailboxes will function just as they previously did. The same is true for faxes going to a fileshare location.
- Where can I get information on using the new AccuRoute WebApps and are there any instructional videos I can watch?
- You should have received an email regarding the Fax Server upgrade that contains a PowerPoint presentation with training tip videos included.
- Within the AccuRoute WebApps application there is a robust Help document. That help text can be found by clicking on the "?" in the upper right corner of the application screen.
- I send faxes to the same recipients on a regular basis, is there a way for me to save my fax setup so that I can easily re-use it?
- Yes. You can create what is known as a "Distribution" and customize it with a fax number, coversheet, Title, Subject and attachments. You save it with a unique name and it is then available for use again and again. Any portion of the setup can be changed and saved again. Click on the "?" icon on the WebApps main page for help text regarding Distributions.
- I send faxes to a long list of recipient fax numbers, can I still do that?
- Yes. You simply need to enter the numbers in the Destination field one at a time. Once entered, any given number can be removed by simply clicking on the "x" next to the number.
- How can I tell if my fax was successful?
- The new WebApps provides excellent visibility into the status of the faxes you send. Faxes that are currently in-process will show in the Messages In-Box, while faxes that have been fully processed will show in the Messages History with a successful or failed status.
- I've been using the desktop AccuRoute tool for many years, how long will we have this new WebApps?
- Not very long. We are doing this upgrade to the Fax Server due to infrastructure issues that have caused a large number of outages and support problems over the last couple years. This upgrade is an interim solution designed to minimize those types of outage incidents. We have started work on the long-term fax solution and expect that the long-term solution will be put in place roughly 1-2 years from now at which time a new fax client will be deployed.
- I was told that I cannot get a new fax number. Will this upgrade change that? Will I now be able to get a new fax number?
- No. This upgrade will improve the overall stability of the system but we are still operating with limited resources on the system that prevent us from allocating new fax numbers and adding additional load onto the system. We do not expect this situation to change until the long-term faxing solution is put into place.
- I want to use the same standard "umhs" coversheet that I've been using.
- By default, users will have the standard "umhs" coversheet assigned to any fax they send. You will not need to make any changes in order to make use of this coversheet.
- I want to use my department's coversheet, not the "umhs" one. How do I do that?
- When you click on the "+" in the Destinations field you will get a window that allows you to select from the long list of departmental coversheets. The list is in alphabetical order. Simply find the one you want and click on it to select it and then click "ok." It is advisable to save your fax as a "Distribution" so that you can reuse it again and again, otherwise you will need to manually select your departmental coversheet each time you send a new fax.
- There seem to be a lot more features and functions in this tool versus the old desktop tool, can I use everything available to me?
- Yes, in theory, but the Fax Server support team is not experienced/skilled with every new feature of the tool. We can provide assistance with most of the common features, but for some of the less common ones you will need to refer to the Help documentation in the tool and do some education and experimentation on your own.
- Who do I submit tickets to if I have problems or need assistance with the AccuRoute WebApps?
- Contact the Service Desk and have tickets assigned to the Enterprise Clinical Support team. Someone from the team will respond to your request.
- With this new upgraded system, will my team still need to have a downtime faxing process?
- Yes. It is likely that the new system will have problems from time to time and all users with high priority faxes, especially those related to patient care, should have a downtime faxing process available to them.
