Introduction
HITS Identity and Access Management team provides Michigan Medicine account onboarding services for Michigan Medicine employees and affiliates.
Definitions
Access Liaison (formerly Authorized Signer or Sponsor): Individual who has been approved by leadership within a department to manage their affiliate's sponsorship within the Account Request Tool.
Affiliate (formerly non-employee): An individual who participates in Michigan Medicine workspace and requires Michigan Medicine (Level-2) sponsorship, but is not an employee.
Appointment: A structure that defines department, job code, sponsor, start date, and end date for either a Michigan Medicine Affiliate or Employee.
Employee: An individual who has a University of Michigan Human Resource (HR) appointment, which reports to the Executive Vice President of Medical Affairs (EVPMA).
Instructions
Onboarding for Michigan Medicine Affiliates (Non-employee)
1. Gather Required Information for Michigan Medicine (Level-2) Account Sponsorship
Access Liaison begins the process by gathering required information. Michigan Medicine requires the following fields for new affiliate account creation:
- First Name
- Last Name
- Date of Birth
- Social Security Number
- Gender
- External Email
- External Phone
- Start Date
- End Date
2. Request Affiliate Account
Access Liaison uses the Account Request Tool to request a new account.
3. Account Created in Michigan Medicine
Michigan Medicine's Identity and Access Management Services team performs Michigan Medicine (Level-2) account generation using automatic processes. New User Account Information email sent to hiring manager.
4. Account Setup
Affiliate will receive the Action Needed: Set Up Your UMICH Account email that instructs the individual to use the Password Self Service tool to create passwords for Michigan Medicine (Level-2) and UMICH (Level-1). This email is sent to the individual's personal email account.
5. Affiliate Starts
Affiliate receives the Welcome to Outlook email in their Michigan Medicine (Level-2) email account. The affiliate is now able to log into CoreImage workstations and access Michigan Medicine server space and resources.
Onboarding for Michigan Medicine Employees
1. HR Completes Hiring Process
After University of Michigan Human Resources completes a background check, Michigan Medicine receives the employee record and generates the Welcome to Michigan Medicine! email.
2. Account Created in Michigan Medicine
Michigan Medicine's Identity and Access Management Services team performs Michigan Medicine (Level-2) account generation using automatic processes. New User Account Information email sent to hiring manager.
3. Setup Account
Employee will receive the Action Needed: Set Up Your UMICH Account email that instructs the individual to use the Password Self Service tool to create passwords for Michigan Medicine (Level-2) and UMICH (Level-1) accounts. This email is sent to the individual's personal email account.
4. Validate Account
Employee will then receive the Immediate Action Required: Verify Information for U-M Employment email that instructs the individual to use the Human Resources' New Employee Validation tool. This ensures the individual is able to complete the hiring process - and that the Payroll Department has correct information for the employee's first pay period. This email is sent to the individual's personal email account.
- Note: Once validation has been completed, access will be granted within 24 hours. HR processes validations every evening.

5. Employee Starts
Employee receives the Welcome to Michigan Medicine email in their Michigan Medicine (Level-2) email account. The employee is now able to log into CoreImage workstations and access Michigan Medicine server space and resources.
