Introduction
If you’re using OneNote together with Outlook, you can easily bring important email messages and meeting invitations from Outlook into your notes by using the Send to OneNote feature. In order to move multiple messages at once, the following is required:
- You must be using the Outlook (Classic) desktop application. Outlook (Modern) and Outlook for the Web only allow for moving one message at a time.
- You must have the COM version of the Send to OneNote add-in enabled in Outlook (NOT the web version).
- Mac Users or users that do not have Outlook (Classic): You need to use Windows Virtual Desktop (WVD) in order to send multiple emails to OneNote at a time.
This article provides guidance on how to verify the version of Outlook you are using as well as how to enable the correct add-in to allow you to send multiple emails at once.

How do I know if I am using Outlook (Classic)?
- As shown in the labeled image below, Outlook (Classic) is visually different from the Modern or Web versions of the application. Note the differences in the search bar at the top of the screen, the icons along the left side of the screen, and the icons next to the folders in the Modern versions.
- If you are not in Outlook (Classic), use the Windows Search bar to find and open it. Make sure you close the modern version before opening classic because you cannot run both at once.
How do I know if I am using the correct version of the Send to OneNote add-in?
- The correct Send to OneNote add-in will be located in the Move section on your Home tab in Outlook Classic. If it is located off to the right, it is the wrong (web) add-in. See image below.

Using Windows Virtual Desktop (WVD) to Send Email to OneNote - Mac and Outlook (New) Users
If you are a Mac user or only have Outlook (New) on your core imaged device, you will only be able to send one email to Outlook at a time.
To use WVD online, navigate to https://virtual.med.umich.edu and follow the instructions to login. For more information about WVD, you can refer to this article: Windows Virtual Desktop (WVD) - Getting Started.
Opening Your OneNote Notebook in WVD for the First Time
When you open OneNote from within WVD for the first time, you will find none of your notebooks display. You will have to manually open them once, and then they will display for the subsequent times you open OneNote from WVD. The changes you make in OneNote from WVD are backed up in M365 so you will see them when you open OneNote outside of WVD.
After you have logged into WVD and have opened OneNote, follow these steps to open an already created OneNote folder.
- Click the Notebooks dropdown.
- Select Add Notebook.
- Select the Open option.
- You can also select New here to create a new notebook if you have not already created the one you want to move your email to.
- Your recently accessed and pinned notebooks display on the right.
- Select the notebook you want to open.
- You can also select Browse and navigate to \Documents\OneNote Notebooks, which is where OneNote saves notebooks, if you need to open one that is not listed.
