Device Ordering
Who Can Order a Device?
Any eligible employee or student without a Michigan Medicine primary computer can order one via the Device Ordering Guide. Use this guide to confirm eligibility, input your details, and select your computer and accessories. See available computer hardware on SharePoint.
Orders for employees may require a departmental shortcode. Orders for students will not require a shortcode. Check with your manager or department contact to follow any department or divisional processes for ordering devices. Short codes are used for tracking and reporting purposes or to cover the additional costs for a custom request or an order that exceeds the given budget.
Periodic reports on orders by department are available to administrators on request.
Available Computers & Accessories
Computer offerings are tailored to specific roles and can be reviewed in the computer catalog on SharePoint. Offerings are updated regularly, and current options can also be viewed in the Device Ordering Guide.
Included Accessories
Accessories required for a computer to function are always included:
- Laptops – Charging cable.
- Desktops – Charging cable, monitor, keyboard, and mouse.
For Medical School computers, external accessories such as docking stations and external monitors are optional. If the selected computer’s cost is below the total budget, additional accessories may be added up to the budget amount.
For Clinical & Shared Services computers, some accessories are included in standard packages, while others, such as headsets, may require departmental funding. Refer to the Funding Models for full details about accessories.
Expectations for Device Management
- One Device Per Individual – Additional computers and equipment can be purchased separately, as needed.
- Work-Related Use Only – Do not share login credentials or passwords.
- Contact HITS for Support – Phone, chat, and an online database are available for troubleshooting, service requests, and software assistance.
- Return Equipment No Longer In Use – Devices must be returned to HITS when a user leaves or receives new equipment by submitting the Turn in Computer Equipment form.
Replacement Policy
- Laptops – Replaced every 4 years.
- Desktops – Replaced every 5 years.
Replacement cycles depend on the annual budget.
Users can request a replacement device through the Device Ordering Guide once their current computer is beyond the lifecycle. Alternatively, HITS will notify you once your device when your computer is eligible for replacement.
Ordering Non-Standard Equipment
Start with the Device Ordering Guide.
If the needed equipment is unavailable, you will be prompted to request a consultation with the HITS device team.
