Michigan Medicine General Computing Program — Medical School Device Funding Model


Overview

The following guidelines establish purchasing standards for Medical School departments making General Computing purchases. They specify who is eligible for centrally funded devices, what equipment is covered, and how budgeting and lifecycle management are handled. By following these standards, departments can ensure that all Medical School users have the appropriate technology to support education, research, and administrative activities.

Eligible Users

 

  • Students – PhD, Medical, and Master’s Students who have completed at least 1 year in their program.
  • Faculty – Non-Clinical Faculty
  • Staff – Administrative, Research, Postdocs 

Ineligible Users

 

No central funding is available for affiliates who meet the following criteria:

  • Part-time
  • Temporary
  • Adjunct
  • Supplemental
  • Emeritus (active and non-active)

Covered Equipment

 

  • Student Devices – Standard models assigned based on cohort.
  • New Hire Devices – Individually assigned primary devices and accessories:
    • Medical School Staff: Up to $1,600 per primary device setup.
    • Faculty: Up to $2,300 per primary device setup.
  • Replacement Devices – Existing individually assigned devices used by Medical School users.

The Medical School strongly encourages a laptop computer as the primary device, to align with our hybrid work environment. Desktops can be substituted as an exception if required for your work.  


Department-Funded Equipment

 

The following items are not covered by the program and must be funded through a department shortcode:

 

  • Shared devices (e.g., lab computers, staff room devices, conference room setups).
  • Individually assigned, primary devices exceeding funding limits ($2,300 for faculty, $1,500 for staff – overages billed to department shortcode).
  • Printers and multifunction devices.
  • Individually assigned iPads.
  • Individually assigned cellular devices (request a smartphone via the Help Center).
  • Specialty peripherals (see below).
  • Dedicated research devices.

Budgeting & Lifecycle Management 

 

  • Incremental Budgeting – Covers new devices added to the fleet (not replacing an existing device).
  • Replacement/Lifecycle Budgeting – Covers replacement devices within the established lifecycle.
HITS will manage the yearly budget for the devices used by Medical School users with Medical School leadership and the Device Governance Workgroup (DGWG).  This includes budgeting for anticipated incremental needs, as well as replacement of existing devices within the fleet. This will be done in adherence to the defined life cycle of the devices. 

Peripherals & Accessories – Funding Responsibility

HITS will assist in selecting appropriate accessories within the following categories. Departments may be required to fund and/or order items directly through CDWG or the Tech Shop.
