The Michigan Medicine General Computing Program offers standardized, fully supported computing resources to faculty, staff, and students. Guided by HITS (Health Information Technology & Services), it ensures users have access to the devices, software, and support they need to perform their work effectively. From initial ordering and lifecycle management to returning equipment and maintaining security, the guidelines below outline how this program streamlines device procurement, optimizes resources, and upholds Michigan Medicine’s commitment to operational excellence.

Below are the guidelines for the Medical School and Clinical & Shared Services Device Programs:
Access to Computing Resources
Every Michigan Medicine employee and student has access to a computer suited to their role at Michigan Medicine, with privileged network access, printing, and support.
- Employees receive either a shared or individually assigned device based on role requirements.
- Students, medical school faculty, providers, all medical staff, and specific clinical/shared services staff are preapproved for a single, individual-use desktop or laptop with accessories. These devices are built on Michigan Medicine’s fully supported CoreImage PC (Windows) or CoreMac platform.
- Computer packages are standardized by role and include essential accessories.
- Contractors and temporary hires should use Windows Virtual Desktop instead of a Michigan Medicine-issued device. Exceptions require Departmental Director approval.
- Roles not requiring an individual-use device have access to shared workstations, which are located in clinical area workrooms, patient care areas, and some research spaces. These devices are built to Michigan Medicine standards and are connected to the privileged network, printers, and other necessary equipment.
Centralized Ordering Process
A single Device Ordering Guide in the Michigan Medicine Help Center allows users to:
- Order new equipment.
- Swap devices.
- Return equipment when no longer needed.

Device Lifecycle & Fleet Management
HITS manages a fleet of over 30,000 devices. Replacements are made on the following schedule and are dependent on annual General Computing Program funding.
Lifecycle
- Laptops – Replaced every 4 years.
- Desktops – Replaced every 5 years.
Previously used computers may be reassigned if they remain functional and within lifecycle limits.
Returning Equipment
All unused equipment must be returned to HITS when:
- An employee leaves their role.
- A new or replacement device is issued.
- A hybrid work request is submitted.

CoreImage PC & CoreMac Platforms
Michigan Medicine computers run on CoreImage PC (Windows) and CoreMac platforms, ensuring:
- Automated connection to Michigan Medicine networks.
- Flexible First work adaptability (onsite, hybrid, remote).
- Streamlined access to internal resources.
- Up-to-date security settings and automatic updates to protect data.
- Access to U-M software licenses via the software catalog.
- Full HITS support for troubleshooting and issue resolution.
- Flex & Linux options to support specialized workflows.

Printers & Multifunction Devices
Printers are managed separately under the Michigan Medicine Printing Standards, which guide printer purchases to align with financial, sustainability, and security goals.
- All Departments, Units, or ACUs must supply a shortcode for all new or replacement purchases from Xerox to support cost-per-copy and related hardware charges. The cost-per-copy charge replaces current toner expenses for the unit, as service and supplies will be provided by Xerox.
- Devices purchased outside of the standard HITS channel will not be connected or supported by HITS.
New Facilities & Renovations
Incremental computers for new facilities or renovations must be funded by the project shortcode.
