Michigan Medicine General Computing Program — Clinical & Shared Services Device Funding Model


Overview

The following guidelines outline the General Computing purchasing standards for Clinical and Shared Services departments. They define who is eligible for centrally funded devices, what equipment is covered, and how budget and lifecycle management are handled. By adhering to these standards—and initiating all requests through the Michigan Medicine Device Ordering Guide—departments can ensure that staff have the technology they need to support patient care and administrative operations effectively.

Eligible Users
  • Faculty (with clinical appointments)
  • Staff:
    • Clinical Inpatient Units.
    • Ambulatory Care Locations and Departments.
    • Administrative Units.

Covered Equipment
  • New Hire Devices – Individually assigned primary devices for:
    • Staff in Clinical and Shared Services departments.
    • Faculty with clinical appointments.
  • Shared Devices – Includes Kiosk computers and iOS or Welcome (Windows) tablets required for business or clinical workflows.
  • Replacement Devices – Existing fleet devices used by clinical and shared service units.
    • Prioritization is based on available yearly funding.
  • Replacement Monitors – Standard replacements for existing setups.

Note: Device selection is based on standard models designated for business necessity and requirements of each role. 


Department-Funded Equipment

The following items are not covered by the program and must be funded through a department shortcode:

  • More than one assigned/primary device per individual.
  • Devices for adjunct or emeritus Faculty.
  • Document printers and multifunction devices.
  • Individually assigned iPads.
  • Individually assigned cellular devices (request a smartphone separately through the Help Center).
  • Specialty monitors and peripherals.
    • Standard setup – Single monitor for non-call center or scheduler roles
    • Dual monitors require business justification

Budgeting  
  • Incremental Budgeting – Covers new devices added to the fleet (not replacing an existing device).
  • Replacement/Lifecycle Budgeting – Covers replacement devices within the established lifecycle.
HITS will manage the yearly budget for the devices used by clinical and shared service units with the Device Governance Workgroup (DGWG).  This includes budgeting for anticipated incremental needs, as well as replacement of existing devices within the fleet.  This will be done in adherence to the defined life cycle of the devices.

Note: Full funding is not guaranteed and HITS will prioritize device replacement with DGWG.


Peripherals & Accessories – Funding Responsibility

HITS will assist in selecting appropriate accessories. Departments may be required to fund and/or order items directly through CDWG or the Tech Shop.
