Outlook - How to share a folder in your mailbox


Introduction

Sometimes you may want to share a specific folder in your mailbox.

This will involve granting access to users or groups according to the hierarchy of your folders:

  1. The base level of your account (the folder with your email address)
  2. The target folder(s)
  3. Plus, any intervening folders

For example, to share the "Nursing Students" target folder below with someone...



You need to grant the person access to all the intervening folders with the arrows next to them:

  • The base level of the account (labeled with your email address)
    • The "Cabinet" folder, which contains...
      • The "Account" folder, which contains...
        • The "Nursing students" folder itself

Be careful with the permissions you grant to the intervening folders if they have multiple subfolders since those permissions will apply to all its subfolders--not just to your target sub-folders.

These instructions will guide you in sharing folders using the Classic Outlook client.

Note: The instructions below are only applicable to the Classic Outlook desktop client--not Outlook on the web (supported) or the New Outlook client (not-supported by HITS).

Instructions

Start with granting permissions to your mailbox

  1. Right-click on the folder with your email address - this is your mailbox.

  2. Choose Data File Properties.


  3. Click on the Permissions tab in the new window, then click Add.


  4. Type last name, first name -- or -- group name.

  5. Click on the person or group in the Global Address List.

  6. Click on Add.


  7. Click OK.

    Note: Here's where you have to be very careful what permissions to assign. If you assign the permissions you want the target folder to have at this level, all folders and subfolders will inherit this permission.  In most circumstances, you should select None in the Permission Level dropdown.

  8. Check Folder Visible.


  9. Click OK.

    Note: The user or group you selected can now load your mailbox in their Outlook, but they cannot see any of its contents.  It will appear empty.

Grant permissions to the intervening folder(s)

  • Complete the preceding steps for the intervening folder(s) being careful to only provide the "Folder visible" permission to those folders.

Grant permissions to the target folder(s)

  1. Once you granted permissions through your mailbox's hierarchy to the target folder, right-click and choose Properties.


  2. Follow the preceding steps, but this time select the desired level of permissions for that folder and its contents.  In the following example, the user is granted Reviewer permissions.

  3. Click Apply, then click OK to close the folder's properties window.

Repeat these steps for any other users/groups/folders.
