Introduction
Promotions are started within Meridian via the "Initiate Promotion" process. This can be done in three ways.
Option 1: From a Planned Change
In Meridian there is an activity hub called Planning, where future faculty changes or planned changes are entered by Department planners. One type of planned change is a "Change in Track/Rank", which is closely associated with a promotion. Meridian allows Departments to use these planned changes to jump-start new promotions.
Option 2: Create an Unplanned Promotion
If there is not already a planned promotion ("Change in Track/Rank") for a given faculty member, Departments can choose any faculty member in their department* and start a promotion for them by selecting the desired new rank.
(*) Note: Only faculty whose Admin department matches the Department contact's Promotion activity hub access will be promotable. See more below for details.
Option 3: OFA Only
In rare circumstances, Options 1 and 2 will not be sufficient (such as if a faculty member's Admin department is outside the Medical School) and so the Office of Faculty Affairs (OFA) has the ability to start a promotion for any Med School faculty in any department, upon request.
Note: Option 3 is accessed via a button that only OFA can see and use (which appears at the top of the Promotion Roster and on the Promotion List page).
Instructions
The Initiate Promotion button on the Promotion Roster gives Departments access to Options 1 and 2.
Clicking this button takes you to a window prompting you to select the 'main' appointment the faculty is promoting from (this is typically the Admin or Primary appointment). Then you select a planned change or create an unplanned promotion. If choosing unplanned promotion, a new rank will need to be selected. If the promotion is eligible to add tenure, you will select an option for that as well.
Completing any of these three options takes you to the Promotion Detail page for that promotion, where you can begin working on the workflow.
How do I indicate additional appointments/departments involved in the promotion?
After initiating a promotion, Meridian takes you to the Promotion Detail page. There is a section labeled "Additional Promotions" near the top of the form.
If your faculty member has additional appointments (besides the one you selected initially, see above) and one or more of these will be involved in the current promotion, you can select these. Selecting the additional appointment requires you indicate which rank the faculty member is being promoted to.
If your faculty member has a single appointment, you instead see the message "No additional appointments found that can be promoted".
Why can't I see a certain faculty member in my Promotions department list?
As mentioned above, only faculty whose Admin department matches the department for which you have Promotions access will appear. For example, Dr. John has appointments in:
- Anesthesiology (Admin, Primary)
- Radiology (Secondary)
This means that Anesthesiology can promote Dr. John, but Radiology cannot. If Radiology wants to promote Dr. John, Anesthesiology needs to 'run' the promotion for them (typically done as part of a joint promotion where both departments promote together) where the Anesthesiology department contact handles the workflow details. Another option is to leverage the OFA-only functionality to assign Radiology to run that promotion.
