Qualtrics - Offline Surveys App


Introduction

Qualtrics Surveys, formerly Offline Surveys, is an application available for iOS and Android that allows surveys to be administered on a mobile device without an Internet connection. Responses can be collected in the field on a mobile device and then uploaded back into Qualtrics once an Internet connection is available. Multiple mobile devices can be associated with the same survey. This app is available for iPad, iPhone, and Android tablets and smartphones running Android 4.0 and later.

 

 

Use of the Offline Surveys requires the Offline Mobile App option to be enabled on the account of the survey owner. Users with accounts on the Michigan Medicine brand or the University Wide brand can send an email to umhs-qualtrics@umich.edu requesting this option be enabled.

Logging in to Qualtrics Offline Surveys requires an active Internet connection. The same Qualtrics account can be accessed from multiple mobile devices.

If a Qualtrics account has access to more than 100 surveys, the app may not be able to display all of the surveys on the mobile device. In this situation, contact umhs-qualtrics@umich.edu for assistance with creating a special account to use with the app. The surveys to be used with the mobile device can be shared with the special account through collaboration in order to reduce the total number of surveys.

 

Downloading Surveys

Accounts located on the Michigan Medicine and University Wide brands use UMICH credentials for authentication.

  1. On the mobile device, open the Qualtrics Surveys (or Offline Surveys) app.
  2. At the login screen, under the authentication fields, tap the Sign in with SSO link.
  3. For the Organization ID, type the appropriate brand identifier for the brand housing the your account and tap the Continue button. The university WEBLOGIN screen will appear.
    • Michigan Medicine brand: umichumhs
    • University Wide brand: umich
  4.  Authenticate with your UMICH credentials.
  5. At the Two-factor authentication pop-up, select the appropriate option and complete he authentication process. Depending on the number of surveys available to the account, the next screen may take 10-20 seconds to load.
  6. Locate and tap the survey to download to the device (or search for the survey using the search box on the top left of the screen).
  7. In the window that appears, tap the Download Survey button.

After downloading a survey, to apply any further changes made online to the downloaded survey, simply click the Refresh button on the top left of the survey overview window.


Collecting Responses

To begin collecting responses, tap any downloaded survey and, in the window that appears, tap the Take Survey button.

When a survey response is completed, the recipient responses number will be incremented.

Surveys in the Qualtrics Offline Surveys app have a unique set of options available to customize the participant's experience. These options are all found by tapping the Manage Survey button on the bottom left of the survey overview window. See the Collecting Responses section of the Qualtrics Offline Surveys page for an explanation of each option.


Uploading Responses

After collecting responses, once the mobile device has an active Internet collection, the responses can be uploaded into to the survey in the Qualtrics account.

To send responses to the Qualtrics account, tap the Upload Responses button on the bottom right of the survey overview window.

Uploaded responses will be removed from the mobile device and become available in the View Results section of the survey owner's Qualtrics account. Uploading will also increment the uploaded responses number on the survey overview window.


Troubleshooting

Certain settings will restrict the app from uploading responses to the online account. If an "Upload Failed" error message appears, check the following settings:

  • Make sure the mobile device is using the latest version of the app. Updating the app will not delete any responses as long as no one logs out of the app.
  • Find more stable WiFi.
  • Log in to Qualtrics from a web browser, select the survey, and click the Survey Options. Check the Survey Protection settings of the survey:
    • Confirm the survey is set to "Open Access" and not "By Invitation Only".
    • Make sure the following options are not checked:
      • Password Protection - The app does not allow for password-protected surveys.
      • Prevent Ballot Box Stuffing
    • If a Survey Expiration is set, confirm the expiration date has not passed.
  • If Quotas are set for the survey, make sure they are not filled.
  • If working with a collaborated survey, be sure the survey is still collaborated with the account logged into the app.
