Tableau - Client Software License Changes


Introduction

Salesforce/Tableau has ended support for Perpetual Tableau Desktop licenses and those managed by HITS have been converted to Creator Subscriptions and funded for 18 months.  

Users who have already moved to Creator Subscriptions from ITS are not impacted. 

 

Existing Perpetual Tableau Desktop licenses will not be renewed and the maintenance will end on January 1st, 2024. Tableau Desktop will continue to function and you can ignore the warnings.

Retrieve Tableau Creator Key

  1. Go to this dashboard to look up your key
  2. Copy the key. If you don't have a key assigned it will inform you that there is no key assigned to your username

Activate Creator Key and Disable Perpetual Key

  1. On your computer open Tableau Desktop
    1. If you haven't activated the software it will prompt you to for your demographic information
  2. Go to the Help menu and select Manage Product Keys...
  3. Click the Activate button
  4. Choose Activate with a product key

  5. Enter your product key and click the Activate button
  6. You should see a green checkmark and click Continue
  7. Under Help->Manage Product Keys... 
    1. To Deactivate a key
      1. Highlight it
      2. Click the Deactivate button
      3. Click yes at the prompt
    2. Deactivate any Perpetual Tableau Desktop keys, which should start with TD and be formatted as TDXX-XXXX-XXXX-XXX
    3. Deactivate any expiring Tableau Creator keys

(Optional) Request Prep Builder Package

Creator Subscriptions also include Tableau Prep Builder which is a data preparation and ETL tool.

  1. Go to the Enterprise Tableau Tools order guide page in the HITS Service Catalog.
  2. Check the box for "Installation of Tableau Prep Software on a Core-Imaged machine running Windows 10"

 

 

Creator Subscriptions include Tableau Desktop, Tableau Prep Builder, and enhanced capabilities in Tableau Server.

Can I share my key with other users?

No, Keys are assigned to named users and should not be shared or activated by multiple users. Doing this violates our license agreement.

I get a message that Tableau Maintenance is Expiring. How do I stop it?

If you receive an error message that your Tableau Maintenance is Expiring means you haven't deactivated your expiring key. The software will continue to function even if the maintenance expires. Once your new Creator key is activated you can deactivate the perpetual key and will no longer receive this message. 

How do I get a Tableau Server Creator Role?

As part of a Creator Subscription users are entitled to enhanced capabilities in Tableau Server:

  • In the browser WebEdit and Create
    • Datasources
    • Prep Flows
  • Create and use Virtual Connections
  • Schedule Linked Prep Flows

Users with converted Creator keys have been automatically promoted to a Creator Role on the Tableau Server.

If you obtained your Creator Subscription through ITS you will still need to request the capability from the Enterprise Tableau Tools order guide under Request Tableau licensing assistance.

 

How do I pay for my converted license?

HITS will be transitioning management of Creator Subscriptions to the ITS software management team in 2024. Converted Creator Subscriptions are funded until June 2025 to align with the ITS renewal cycle. In the Spring of 2025 users will be contacted by ITS and responsible for funding Creator Subscriptions.
