SharePoint Online - Selecting the Best SharePoint Online Option for your Group


Introduction

Michigan Medicine offers SharePoint services to meet you and your team’s Intranet needs.  Within the SharePoint services that Michigan Medicine offers, there are two main SharePoint offerings; an Independent, Modern SharePoint site and M365 Collaboration Group which includes a modern SharePoint site as well as M365 services for group collaboration including a shared Outlook inbox and calendar, Teams channels, OneNote notebook, and Microsoft Planner.  This article helps explain the use case(s) that you might take into consideration when selecting between these two offerings.  In general, the SharePoint service that you request should reflect your team’s use case(s) and needs for communication and/or team collaboration.

When to Select an Independent, Modern SharePoint Site:

  • Description:

This SharePoint service can be requested through this ServiceNow Catalog Item and provides an independent SharePoint site that site owners and administrators can configure to fit your team’s needs.  

 

  • Use Case(s):
    • Your team needs an internal or Michigan Medicine web presence with minimal complexity and no need for advanced collaboration.
    • Your team needs a centralized SharePoint site for internal team operations, document management, and internal knowledge sharing.
    • Your team will likely have a small number of team members authoring content and information for the majority of the team to consume.

 

When to Select a Microsoft 365 Collaboration Group:

  • Description:

This SharePoint option provides a “bundle” of M365 services designed for multi-channel communication and collaboration associated with your M365 Group and that are great for facilitating team or project operations.  In addition to a modern SharePoint site, this option includes a Microsoft Outlook inbox and calendar, Team Channel(s), OneNote notebook, and Microsoft Planner.  While this option provides more tools for advanced communication and collaboration, it also requires more steps than the Independent, Modern SharePoint to setup.

 

Steps to request a Microsoft 365 Collaboration Group:

    1. Create a Michigan Medicine Group through this ServiceNow Catalog Item
    2. Enable a M365 Team for your group following this Knowledge Base Article
    3. Add users to your M365 Team following this Knowledge Base Article

    • Your project or operational team needs a comprehensive, multi-channel communication and collaboration solution, including a group-focused SharePoint site.
    • Your team is dynamic and the majority or all of your team is expected to contribute content to your SharePoint site and/or compile content and team tasks through M365 tools such as chat, video meetings, and file sharing.
