Epic Haiku for Paging on iOS and Android


Introduction

Haiku is a mobile application for Epic (MiChart). Haiku gives access to Secure Chat and Push Notifications. You can receive messages as push notifications and chat with anyone who has access to Secure Chat at Michigan Medicine for bi-directional communications. You receive paging messages as push notifications in Haiku. 

Haiku requires MiChart access. MiChart access strictly for the use of Haiku is called Secure Chat Only User access. 

You must review this knowledge article before you are granted Secure Chat Only User access in MiChart to use Haiku.​ Once you complete the assigned training course in Cornerstone, you will be given access automatically.

 

Note: The training course must be assigned to you. If you self-enrolled, access will not be given. 

 

Instructions

 

Please follow these instructions to set up your Michigan Medicine smartphone (individually assigned) to install Haiku from Company Portal and complete the access requirements.

Technical Requirements

iOS (iPhone):

  • Operating System: iOS 14.x and above
  • Minimum Haiku/Canto App version: 10.7 or later

Android:

  • Operating System: Android OS 8.x and above
  • Minimum Haiku App version: 10.7 or later

Haiku can only be used on Android and iPhone smartphone devices. 

 

Install Haiku - iOS or Android

Note: These instructions do not apply if this is a Corporate owned shared device. An incident will need to be submitted and routed to the Mobile Device Administration team. 

  1. Enroll the iOS device in Microsoft Intune / Enroll the Android device in Microsoft Intune
  2. Install Haiku from Company Portal.
    1. On the Android or iOS, tap the Company Portal icon to launch.
    2. Search for Haiku in the Search Field.
    3. Tap the icon for Epic Haiku to install.
      • If installed from any other source (e.g., app store, another organization), the registration will fail. If installed from another source, you will need to uninstall Haiku and reinstall from the Company Portal.
      • If Haiku is grayed out, open Company Portal > Apps > swipe down to refresh the page. This may remove the Haiku app. Then tap "view all apps", which is located next to recently published list, and scroll down to find Haiku.
  3. For the first launch of Haiku, the device will need to be connected to the internal network (MFleet [onsite] or VPN for iOS / VPN for Android [offsite]) for Haiku to auto-register.
      • If onsite and connected to MFleet please ensure VPN is disconnected. If device is connected to both MFleet Wi-Fi and VPN while onsite it will not register. 
  4. Sync device with Company Portal to download configurations for the Haiku app.
    1. From Company Portal, navigate to Devices.
    2. Select the device being used. 
    3. Sync device to Company Portal.
      1. For Android, select Check Device Settings to sync device.
      2. For iOS, select Check Status to sync device.
    4. Once sync has completed, return to home screen.

Haiku Log In - iOS or Android

Important Note: Paging with Haiku Secure Chat requires MiChart access. You must log in and open Haiku periodically to make sure you do not lose access. You will lose access if inactive for approximately 9 months. It is our recommendation to log in every 6 months to ensure your account and device remain active in the system.

  1. Tap the Epic Haiku icon on your device to open the application.
  2. Type your username and password in the User ID and Password fields.
  3. Select your log in department from the departments listed.
    • Optionally, you can Search for a department not shown.

Additional Note: The first time you launch Haiku, you must accept the License Agreement. 

If you attempt to login from a non-Michigan Medicine location, Haiku may instead display the error: No Environments Configured. To download the environments, please connect to a Michigan Medicine network by either:

  • Going to a Michigan Medicine campus building with MFleet/802.1X wireless access
  • Connecting to the VPN by using the Cisco Secure Client app

 

iOS

This section covers information specific to the iOS version of Haiku.

 

Log Out - iOS

Haiku will run in the background of your device if you begin using a different application. You can manually log out of the app, or after 10 minutes of inactivity, you are logged out automatically.
 
To manually log out:
  1. Tap More (in the lower, right corner).
  2. Tap Options.
  3. Tap Log Out.

 

Review Recent Notifications - iOS

  1. Tap More at the bottom of the screen.
  2. Tap Notifications to open the Notifications activity.
  3. Tap a message to view the details.
    • Turn on Show Dismissed to view any dismissed notifications.

 

Enable/Disable Notifications - iOS

  1. In the Notifications activity, tap iOS/iPhone Haiku app gear icon..
    • To access the Notifications activity, tap More, then Notifications (shown in previous section above.)
  2. Make sure that the button for Push Notifications is on.
  3. To turn off a certain type of notification:
    1. Scroll to the "Show me banner/sound alerts for" section.
    2. Tap the name of the notification
    3. Slide the button next to that notification type to the left.
      • For example, to turn off push notifications for Chart Completions, tap Chart Completion, then slide the button next to "Chart Completion" to the left.
    4. When you turn off a notification type, the notification still appears in the Notifications activity, but no alert or banner appears when you receive the notification.
  4. To turn off all push notifications, slide the button next to "Push notifications" to the left. This setting overrides any individual notification settings.
 

Allow Critical Notifications - iOS

To let certain very important alerts related to patient safety to break through your phone's settings and arrive with a loud volume, when prompted, accept both prompts to allow urgent notifications to bypass Do Not Disturb settings.

To manually allow critical notifications, if you denied them at the prompts, from your device home screen:
  1. Open the Settings app.
  2. Select Haiku.
  3. Select Notifications.
  4. Enable Allow Critical Alerts.
    • Only device alerts, such as patient heart rate, are sent as urgent alerts by the app.
 

Troubleshooting Notifications - iOS

 If you are not receiving notifications on your device, check the following:

  • You have the latest version available for the Haiku app.
  • Notifications are turned on for your device settings and the Notification Center in Haiku. 
  • If you have set your phone settings for ringer and alerts to "silent" you need to enable them in the Notifications for the Haiku app.
    • On your device, open your Settings, then tap Notifications.
    • Tap the Haiku app.
    • Enable the notifications as shown below:

  • You do not have "Do not disturb" or other settings turned on that block push notifications on your device.
  • Internet connectivity
    • Open a website (not internal to Michigan Medicine) on your device and make sure it can access the Internet.
    • The device settings are set to enable Wi-Fi at all times to ensure push notifications work as expected.
 
 

Customize Tabs - iOS

You can customize the tabs that display at the bottom of Haiku for iOS. Move the Notifications activity to the first screen to reduce the number of steps it takes to get to Notifications. 

  1. Tap More. 
  2. Tap Edit. 
    • You may see a pop-up with instructions for customizing. Tap OK or Never Show Again.
  3. Tap and drag icons to the bottom of the screen. 
    • Greyed out icons are already displaying at the bottom of the screen. 
  4. Tap and drag tabs to the right or left at the bottom to change the order of the tabs. 
  5. Tap Done to save your customizations.

 

 

Android

This section covers information specific to the Android version of Haiku.

 

Log Out - Android

Haiku will run in the background of your device if you begin using a different application. You can manually log out of the app, or after 60 minutes of inactivity, you are logged out automatically.
 
To manually log out:
  1. Tap Vertical ellipsis. (in the upper, right corner).
  2. Tap Log Out.

 

Review Recent Notifications - Android

  1. Tap Notifications.
  2. Tap a message to view the details.

      • When you turn off a notification type, the notification still appears in the Notifications activity, but no alert or banner appears when you receive the notification.
    4. To change a notification sound, tap Default Sound and select a new sound.

  • You do not have "Do not disturb" or other settings turned on that block push notifications on your device.

    • Open a website (not internal to Michigan Medicine) on your device and make sure it can access the Internet.
    • The device settings are set to enable Wi-Fi at all times to ensure push notifications work as expected
