ExamSoft (Examplify) - How is Examplify installed/reinstalled/updated on my HITS provided device? 


Introduction

For medical students (MD program) who matriculated in the Summer of 2021 or later, Examplify is installed for them automatically ahead of time. Examplify is packaged and will be updated twice a year for medical students. Updates will be provided by HITS. 

For faculty who are on their HITS CoreImage Device or other medical students who may just be using a HITS loaner and do not have Examplify, they can contact the Service Desk to push out the Examplify package to their device. 

 

Instructions

Updates to Examplify for Medical MD Program Students

Beggining in Summer 2024, new students were provided HITS Intune Imaged devices, which updates differently than previous classes' Classic CoreImage devices. Instructions for both are provided below: 

Current M1s (Intune) instructions

On the day the update is released (communicated via OMSE Canvas and Monday Download), you can have your laptop turned on. Syncing (updating) your laptop occurs about every 8 hours. To manually sync your laptop to receive the update as soon as possible, you can follow the manual steps for updating your Intune Laptop using Company Portal

If you run into issues, contact the HITS Service Desk. They can install it remotely via the Intune Console they have special access to. 

When Examplify is actively updating, you will see the notice in the bottom right:

You can check to see if Examplify successfully updated by logging into Examplify and checking the bottom right hand on the application on your dashboard

If you encounter errors or issues, please contact the HITS Service Desk

Uninstall/Reinstall

If you encounter issues like Examplify not opening or providing an error like multiple instances cannot be running, a simple uninstall/reinstall usually fixes any issues. To perform an uninstall/reinstall:

Step 1.

Search for Company Portal in the Windows Search Bar

Step 2.

Search for Examplify or open it via the Recently Published Apps if it shows there.

Step 3. 

Select Uninstall and confirm in the pop up that you wish to uninstall Examplify. This may take some time to complete. You will see a green dotted circle in the top right where it states it is uninstalling.

When it is done, you will see a notice in the bottom right:

Step 4. 

You will have to exit from this page and then navigate back to it by searching for Examplify in the top box. Back on Examplify's card in Company Portal, you can now select Install to reinstall the software. This should solve most issues.

If the uninstall/reinstall cannot work, contact the HITS Service Desk and they can provision it through the Intune Console they have access to.

M2s-M4s (Classic CoreImage) instructions 

When updates are pushed to Examplify, students will have to make sure maintenance is run in order to receive the update. It is important to run maintenance before opening up Examplify. Otherwise, you may receive an error in Examplify saying it won't let you take an exam until you update your version. To update:

  1. Make sure your laptop is on the vpn if offsite.
    1. To connect to the VPN, use the window search for cisco secure mobility client and open it
    2. Log in with your level 1 password. You will also receive a multi-factor authentication prompt to finalize connecting in your MFA app. 
  2. Run maintenance by following the instructions in the Classic-CoreImage - How to run Maintenance article. 
  3. If you open Examplify and do not receive an update prompt, log in and ensure the version on the bottom right hand of the Examplify dashboard states the current version (as of 3/10/25: 3.10.0)

If the student hasn't connected to the network recently, they may run into issues trying to run maintenance. If this occurs, the student should contact the service desk for assistance. 

If the software opens and closes immediately after an update (like stated in KB0024632), the Service Desk should re-provision the software via FCS. 

In an emergency, the service desk can have the student download and try updating to the newest version using the installers from Examplify's website. Admin rights should not be needed for this update/install process. This should only be done if the student is receiving an error saying they must update to the newest version of Examplify and maintenance will not run correctly to receive the newest package.
